Privacy Policy

This policy explains what information CaelAir ("we", "us") collects through caelair.com, the client portal, and the CaelAir mobile app for iOS and Android (together, the "Services"), how we use it, and the choices you have. Questions: [email protected].
Information we collect
- Account information: your name, email address, and password when you create a client account. Passwords are stored only as a one-way (bcrypt) hash.
- Content you or CaelAir add to your account: notes, files (such as photos, video, documents, and invoices), and appointment requests.
- Quote requests: the name, email, phone number, service, and message you send through the contact form, plus the IP address it was sent from (used to prevent spam).
- Security and sign-in data: IP address and timestamps of sign-in attempts, used to block repeated failed logins, and the date of your last sign-in.
- Photos and videos (app, admin accounts only): if a CaelAir administrator chooses photos or videos to upload to a client account, the app accesses only the items selected. The app does not scan or upload your photo library.
We do not use advertising, analytics, or tracking SDKs, we do not track you across other apps or websites, and we do not sell or share your personal information for advertising.
Cookies
We use one essential session cookie to keep you signed in. It is not used for tracking or advertising.
How we use information
- To provide the Services: deliver your files and invoices, keep your notes, and schedule appointments.
- To respond to quote requests and communicate with you about your project.
- To verify your email address, secure your account, and prevent abuse.
Service providers
We share information only with providers that help us run the Services, and only as needed:
- DreamHost: web hosting and database storage.
- Cloudflare: content delivery and security for caelair.com.
- Google: appointments are stored in CaelAir's Google Calendar, and some project files may be stored in CaelAir's Google Drive.
We may also disclose information if required by law.
Data retention
We keep your account and its content until you delete your account or it is removed for inactivity. Client accounts with no sign-in for an extended period (currently 90 days) may be removed; we then keep only the name and email of the removed account as a record. Old project files may be cleaned up periodically. Quote requests are kept until we delete them.
Deleting your account
In the app: Account tab → Delete Account, then confirm with your password.
Without the app: follow the steps on our account deletion page.
Deleting your account permanently removes your profile, files, notes, and invoices from our systems. Appointments already booked on CaelAir's calendar and invoices we must keep for tax or accounting purposes may be retained as business records.
Security
All traffic uses HTTPS. Files are stored outside the public web root, passwords are hashed, and forms are protected against cross-site request forgery. No system is perfectly secure, but we work to protect your information.
Your rights
You can view and update your information in your account, and you may ask us to access, correct, or delete your personal information at any time by emailing [email protected]. Depending on where you live, you may have additional rights under laws such as the CCPA or GDPR; we honor these requests.
Children
The Services are intended for businesses and adults. We do not knowingly collect information from children under 13.
Changes
We may update this policy. We will change the effective date above and, for significant changes, notify account holders by email.
